Another year, another KeyCon.  ;D  This thread will act as the central planning location for the upcoming KeyCon.

First step: Pick a location and host! 
If you're interested in hosting KeyCon, please post in this thread with some details about the location.  Previous KeyCons have been held in Chicago, San Francisco, and Philadelphia.  Prior venues are not off limits, but it is fun to see some new places every once in awhile too.  ;)  Also keep in mind that in order for this to work, we need one or two people dedicated to running the event (reserving venue, etc.) - so any prospective city will also need a host!

I'm throwing my vote in for Columbus, OH, and would be happy to help organize. I already ran a mk meetup at the Idea Foundry last September

The cost of food/travel/lodging for Columbus is also more than reasonable compared to a lot of other major cities. I've only driven through but I was looking at hotels for the csgo major that was held there a couple years ago and everything was super reasonable. I would vote for this.

2017 had some really fantastic meet-ups that were very well attended and even sponsored with vendor donations. I think each of the following locations are easy to get to and have a large and active group that would love to host.

New York City
Philadelphia
Los Angeles
Washington DC
Raleigh/Durham
Atlanta
Charleston
Austin
Houston
Seattle
Chicago

Big airports and direct flights are nice but cost of hotel is high and rental cars and such are a factor. We have a large range of people from broke students all the way up. On the other hand, there have been some really great meets that were actually quite difficult to travel to as well - like Asheville, NC where we had no major airport, expensive hotels, long drives, and no real local support group... yet I think we all had a lot of fun and quite a few people made the journey out to the mountains.

I think there is a happy medium for finding a place that has a popular airport with reasonably priced flights and hotels... and just as important, something cool that people would love to go do before/after the meet in smaller groups. Heres some places that have a lot of extracurricular activities and an easy airport but aren't your major metropolitans

Denver
Albuquerque
New Orleans
Nashville

Probably the best flight deals are always to Las Vegas or Orlando... probably have some really easy "group event" options too but I dunno - from what I've found, most of us are the 'chill, craft beer, indie rock, black coffee' kinda crew. I'm fairly confident if we decided to meet in someplace obscure like Wyoming, Utah, or Kentucky.. people would still show up.

I'd be down for it to be in the DC area or within a 200 mile radius. I really wanted to keycon2017 in Philly, but I was at Philmont.

I mean honestly one of the biggest factors to having a successful meet of this size is having the support from a team of people like what you guys did with att1cus this summer. That was just awesome with all the demos and Q&A sessions and stuff. I'm sad i didn't get to stay the whole day.

The closest town is Lebanon, Kansas, about 10 miles south of the Kansas-Nebraska border.  I believe the closest major airport is in Kansas City, so could carpool from there or maybe Denver. The Amtrak also goes through Kansas and Nebraska.

Philly would be good imo. Not as north east as new England. As long as it's not December through April the weather is usually not a concern.

Philadelphia was pretty awesome last year. I think we can build some momentum and get it even bigger this year. I had one keyboard last year and might have six this year, haha. I'm also down to do another poster this year (no matter where it is), but depending on where it is won't be able to deliver posters in person at the event.

I'd veto (not that my veto means anything) places that already have big annual meetups. Seattle, NYC, Washington DC all come to mind, but I think we should check to make sure there isn't a keyboard scene/meetup in any of the other cities on that list. Personally speaking, if KeyCon can bookend another event like San Diego ComicCon, PAX, DragonCon or Quakecon, I'm more likely to travel.

So my vote is for Philly because I'm selfish and want it in my own backyard. I'm happy to volunteer but probably not be lead organizer since I don't have a good hookup for a venue.

Unless you just like drinking, gambling, and sitting in theaters, there's not much to do in Las Vegas. I like the idea of exploring a city if I'm going to travel there for a convention.

+1 to Denver. Centrally located, due to the airport hub, it should be pretty inexpensive to get flights there (although getting from the airport into Denver is a bit of a beast without a car). It's also a legal state for those folks whom might be interested in partaking.

Unless you just like drinking, gambling, and sitting in theaters, there's not much to do in Las Vegas. I like the idea of exploring a city if I'm going to travel there for a convention.

I lived in Vegas for four months while my wife did her student teaching. We don't drink or gamble, but we still had a lot of fun. Walking the strip is an experience even if you don't go inside any of the casinos. The Bellagio Fountain is as good as a decent fireworks display. There's the Pinball Hall of Fame on Tropicana Ave about 1-2 miles from the strip and a few gun ranges with fully automatic weapons (if you're into that sort of thing).

There's also really great food and some amusement park stuff as well (including the Adventuredome at Circus Circus, which is pretty decent).

I'm happy to offer Villanova near Philadelphia again.  I can get a 200-seat auditorium in the engineering building this year.  I know some things didn't go super smoothly last year, but we have learned from those problems and are ready to do it again!

^ I thought all things considered it went off extremely well. Free facilities is a game changer! I really liked the parking garage and map of the campus as well as the signs through the maze to get to the classroom. Those are the small things people overlook and they can really help. I just stole some political signs and painted them white with stickers (https://i.imgur.com/D3aSToAl.jpg) for our meet in Raleigh. People would have driven right by the lot entrance without them.

The main thing I saw that we could improve on for ALL meets in 2018 is getting an updated original post with the basic things like Date, Time, Address, Photo/Map, etc. Having this information not easily accessible and in advance is really difficult for people coming in from out of town.

I LOVE KEYCOOOON!!!

New Orleans is a really really fun city that is pretty different than most I've been to so it would be fun to go there if a lot of people are going to actually fly out / road trip for the weekend! It has some really great food, culture, art and music! i haven't been down that way in a few years, but I could probably point people to some great bars and activities down there! It's probably in my top 3 favorite cities to experience. Also has an airport!

Denver would be cool! Airport, weed and hiking!? hell yea.

Idk what is in Albuquerque so no comment there except I'm always down for new places!

Nashville I'm not to keen on.. a lot of people seem to like it I guess but I usually find it preeeetty pretty boring. I'd rather do Gatlinburg or (cough cough) Knoxville! If people are coming to Tennessee. Gatlinburg would be cool to like... rent some cabins for the weekend.

I really liked the space / venue / organization last year! buuuut i think it would be cool to move locations every year for keycon! I can see there being yearly city meetups (like seattle and philly/dc) but i like that keycon bounces around so people in various places get a chance to come out without having to trek across the country every time! Also, if it's in the same area every year I would be less inclined to go. I like new places & faces. :)  I understand you people wanting it close to home .. but I look at KeyCon as something I plan a little vacation for every year. If there are enough people in Boston to want it in Boston because it's where they live.. than y'all can just have a meetup. KEYCON IS A COMMITMENT. AND IT'S THE BEEEEST.

Either way! I do think we should get moving on the poll and stuff. The earlier we can set a date/location, the more affordable things are!

oh. also... I'd be down to help organize around here and in NOLA if people are into it! If I have a couple months, I can totally find a venue and stuff.

Hahaha, I'm hoping to!  If it's drive-able I can probably swing it, but plane tickets might be out of the question next year.  That's why we need to make Columbus happen!  ;)

Whoa, definitely some cheap flights through Frontier to a few places this weekend (what popped up when I started my search), but looking at a random mid-July date to Denver/Vegas returned some $250+ flights, which is pretty standard if my memory serves.  :-/  So that's less than promising.  But once we nail down a date and location, I'll give it another shot to see what comes back.  :thumb:

OfTheWild mentioned Atlanta. I would like support that.

I hosted the last Atlanta meetup with the Atlanta Historic Computing Society and will likely host one again in the spring. I am in contact with the Computer Museum of America and I believe it will be a great location for KeyCon. It provides a lot of space in a neat and unique environment.

Atlanta is also very accessible. Bunch of flights all through out the day. It's also a Southwest Hub so flights are also quite affordable. Public Rail and a bus can take you to the venue. There are enough things to do/eat while you're here, but getting around the city is almost impossible without a car.

I am willing to host and I know many people in the area that would also be willing to help out.

My default form of travel is sans carry on anyway (unless absolutely necessary), so that wouldn't be a problem.  :)  I'll keep my eyes peeled for deals to wherever we decide on, and maybe lean on your wife for some insider info if needed.  ;)  Thanks for the tips.  :D

It might be easier in a new thread just for the "location/host nomination" in order to make sure we have specific confirmation from people. 

Do you want to pick a location first and then make sure we have a hosting committee or does the location nomination need to come with a "..and i will take on the responsibility of organizing a group to manage this"?
One person alone probably shouldn't handle it anymore. Thats not fair to them and its a single point of failure. It doesn't have to be all (any?) locals. This takes time and money to do these - at least up front. I know a lot of folks raffle off personal items or vendor donations to fund the rental space.

So far people have offered up:

And there has been interest in the following but no host volunteers:

I know that the Austin/Houston team from reddit/discord would be all over this too. Those guys are a little obsessed with meetups (in a good way). I would also throw Raleigh/Durham (4hrs to DC, Charleston, 6 from ATL..) in there with me as a host but I kinda want to travel  ;D  I'd definitely volunteer to help on the planning committee though.

Yeah i think no matter where it is late spring would be the earliest anyone could pull it off. Its going to take some planning. Depending on where people choose would be a factor too - I would vote to push an Austin or Atlanta keycon away from the dead of summer. All my krytox will liquify! lol

It's easy to say "we can do it here where I live" but the earnest money, so to speak, is figuring out the bare minimum of specifics. Especially since, if you make a proposal and its accepted, it's gonna be on you/your crew to put it together and help to make it a success.

With that, I love all the ideas coming out! Let's make 2018 a blast!

It's easy to say "we can do it here where I live" but the earnest money, so to speak, is figuring out the bare minimum of specifics. Especially since, if you make a proposal and its accepted, it's gonna be on you/your crew to put it together and help to make it a success.

Great points, and part of the reason I'm hesitant to throw a poll together based solely on city names thrown around.  I'd much rather have a kickass keycon that 100 people attend than a mediocre one that 105 people attend.  ;)

To this point, what's a reasonable estimate of attendance? What was the total attendance of the last KeyCon? This will make it easier to come up with serious proposals.

If that's the case there is NO problem hosting it in Houston at TXRX Labs, where I hosted the Houston Meetup!
However, if we're having it in Texas (y'all can take the heat  ;) ), there's no doubt that Austin is more fun and cool and interesting and good and that awwwwwwyeaahhhhhh should host it.

Per details on Columbus, I would be happy to host and have a good relationship building with the Idea Foundry (https://ideafoundry.com/). I'm running a general meetup there in March and they gave me their largest event space, which can handle 165 at standing room, at a very very very reasonable price. If signups or general needs exceed that event space, there are other rooms available that we could use. I've already put in a provisional request for a date in June just to get the KeyCon name in the books.

In terms of attractions, immediately next door is Land Grant Brewery (https://www.landgrantbrewing.com/), which is a great place to walk after the meetup and have a beer. Last time they had a food truck parked outside as well. Outside of that, there's the typical COSI, Columbus Zoo, and the Museum of Art type attractions. In terms of lodging, it's Ohio, so it's relatively very inexpensive. I had quite a few very interesting options on Airbnb when I stayed previously.

After running a few Cleveland meetups and one previous Columbus meetup, I have a good set of individuals who would be willing to help with any sort of planning and logistics. Furthermore, there's also a good community being built up in Ohio that seems to be very partial to meetups, which could increase attendance.

Every year people throw out mid-western cities.. Indianapolis, Columbus, etc because they're centrally located and within driving distance to a ton of other large cities (Indy for example could pull drivers from Chicago, Detroit, Cincy, Columbus, St. Louis, Louisville and a even Nashville), there's inexpensive lodging, great food and beer, they're super accessible unlike crowded east coast cities that didn't grow out on farm land, and plenty to do if you look for it.  But people inevitably shoot it down because airfare is a little more expensive due to no hubs, and honestly people don't want to take a trip to our neck of the woods.  Such is life. 

I definitely vote Columbus though.  With Denver and Atlanta second and third if people want somewhere with a little more panache and a larger airport.

Flights - Delta has nonstop direct flights from all around the country, as does Southwest (https://imgur.com/g3al5RY) and Frontier. There is no shortage of flights. I think they just get looked over because there are simply more people in the larger metropolitans. When you take it to a vote, the midwest will likely lose unless its a cool destination.

50 people is probably a bit low for Keycon'17.. i would have guessed more like 75 but i'm sure atticus could confirm. I would think you should plan for up to 100 people just in case. The NorCal meet was supposedly 100 people.  We had 40 come out just locally in Raleigh/Durham-Charlotte last year.

There is a Columbus meetup happening early March. I think having another so close to that would hurt attendance. Columbus is one of the easiest places for me to get to, so I wouldn't mind it being there, just a concern I have.

I'm throwing my vote in for Columbus, OH, and would be happy to help organize. I already ran a mk meetup at the Idea Foundry last September
 (pics:https://imgur.com/a/h0493 (https://imgur.com/a/h0493)), and plan to run another in March, so the venue is pretty well sorted. The cost of food/travel/lodging for Columbus is also more than reasonable compared to a lot of other major cities. Also, there's a brewery right next door to the Idea Foundry... which is a point not to be overlooked.

I can get behind this! I live in Pittsburgh, PA so Columbus is only a 3 hr. drive for me & after not being able to attend last year in Philly after having it all planned it would be awesome to have it happen semi close to me again. I love to suggest Pittsburgh but I have no experience at with meet ups at all yet, let alone a convention of sorts unfortunately.

Wherever it ends up this year I'm gonna try my damnedest to attend! Keycon has been something I wanted to do for a few years now ever since I found this site & found out about it, just never worked out for me yet. Also there is a basically nonexistent local meetup scene here in Pgh, so this is the best way I can think to get meet you great folks, see some of your awesome boards, & show off some of mine! Fingers crossed jacobsmirror & thanks for being awesome enough to lend your services if it happens! :thumb:

I think that having multi choice spreads it out too far and gives a less accurate view of the vote.  If more people want multivote I will add it as an option.

Okay, I updated it to two votes per member, and set the poll for 7 days.  Next week ill put up a new poll with 'finalists' to narrow down the final choice.  Not sure if ill do top two or three, any opinions?

keycon is traditionally a smaller event than the big reddit meetups, but honestly it's hard to tell

2017 had some really fantastic meet-ups that were very well attended and even sponsored with vendor donations. I think each of the following locations are easy to get to and have a large and active group that would love to host.

New York City
Philadelphia
Los Angeles
Washington DC
Raleigh/Durham
Atlanta
Charleston
Austin
Houston
Seattle
Chicago

Big airports and direct flights are nice but cost of hotel is high and rental cars and such are a factor. We have a large range of people from broke students all the way up. On the other hand, there have been some really great meets that were actually quite difficult to travel to as well - like Asheville, NC where we had no major airport, expensive hotels, long drives, and no real local support group... yet I think we all had a lot of fun and quite a few people made the journey out to the mountains.

I think there is a happy medium for finding a place that has a popular airport with reasonably priced flights and hotels... and just as important, something cool that people would love to go do before/after the meet in smaller groups. Heres some places that have a lot of extracurricular activities and an easy airport but aren't your major metropolitans

Denver
Albuquerque
New Orleans
Nashville

Probably the best flight deals are always to Las Vegas or Orlando... probably have some really easy "group event" options too but I dunno - from what I've found, most of us are the 'chill, craft beer, indie rock, black coffee' kinda crew. I'm fairly confident if we decided to meet in someplace obscure like Wyoming, Utah, or Kentucky.. people would still show up.

New Orleans is a really really fun city that is pretty different than most I've been to so it would be fun to go there if a lot of people are going to actually fly out / road trip for the weekend! It has some really great food, culture, art and music! i haven't been down that way in a few years, but I could probably point people to some great bars and activities down there! It's probably in my top 3 favorite cities to experience. Also has an airport!

Denver would be cool! Airport, weed and hiking!? hell yea.

Idk what is in Albuquerque so no comment there except I'm always down for new places!

Nashville I'm not to keen on.. a lot of people seem to like it I guess but I usually find it preeeetty pretty boring. I'd rather do Gatlinburg or (cough cough) Knoxville! If people are coming to Tennessee. Gatlinburg would be cool to like... rent some cabins for the weekend.

I really liked the space / venue / organization last year! buuuut i think it would be cool to move locations every year for keycon! I can see there being yearly city meetups (like seattle and philly/dc) but i like that keycon bounces around so people in various places get a chance to come out without having to trek across the country every time! Also, if it's in the same area every year I would be less inclined to go. I like new places & faces. :)  I understand you people wanting it close to home .. but I look at KeyCon as something I plan a little vacation for every year. If there are enough people in Boston to want it in Boston because it's where they live.. than y'all can just have a meetup. KEYCON IS A COMMITMENT. AND IT'S THE BEEEEST.

Either way! I do think we should get moving on the poll and stuff. The earlier we can set a date/location, the more affordable things are!

oh. also... I'd be down to help organize around here and in NOLA if people are into it! If I have a couple months, I can totally find a venue and stuff.

I've been toying with the idea of trying to get a meetup started in New Orleans. It might not have the logistics for a keycon this year but maybe we can get a meetup or two done in the area and determine how feasible a successful mk meetup can be in the area.

I have experience and know folks who have orchestrated low cost events around the state of Louisiana, New Orleans included. I just wouldn't want to commit to a major event without trying a smaller meetup first to test the waters.

Here's hoping for New Orleans Keycon sometime 202X!

Considering the timeline, and since KeyCon is slated to occur sometime in June, I think it would be a great idea to have your company host the NYC-local meetup. There was one last August 2017 somewhere near NoHo/East Village. There are some reddit users (/u/TrevorsStar, /u/shadowdude777, /u/xine007, and /u/Stevencz) who organized this meetup.

My vote went for Philadelphia. It was pretty good last year and I think we can build on that momentum. Philly also doesn't have its own meetup group, so you don't get the crossover you would with NY, DC, or Boston.

If it's in Columbus I'm 50/50 on whether or not I can carve out the time. I might make a road trip of going to to some museums in Pittsburgh and stopping at Falling Water on the way over.

People seemed to enjoy the poster I made last year, so once we nail down a location I'll start in on some designs a little earlier this year.

Pretty affordable housing in town!
Badass public transit: no need to rent a car.

Seems like the best plan is for cities where there have been prior successful meetups, encouraging more cities to start hosting meetups. Having said that, I heard Austin had a successful meetups last year.

+1 for Pittsburgh. I can see Falling Water on the way, Andy Warhol museum, and it's only 5.5hrs from Philly. I can do that as a 2-3 day total trip.

It also means I have to finish up a few boards before the meetup.

Anyone looking for something else interesting to do in the area, check out "The Mattress Factory", it's an installation art museum, REALLY cool. I go every time I visit pitt.

Plus my brother could come (he lives there), and maybe get him into keyboards like I am :o

Typically KeyCon falls somewhere in the Summer timeframe, but that's not a hard limit or rule.  It can all depend on the organizer's availability and maybe some other factors I'm not thinking of.

haha. this just keeps getting better and better for me. 

I'm only 2.5 hours from Pittsburgh. Philly was 3, and I could handle the 6 to Columbus okay. 

Pittsburgh airport is small, but they do a lot of Southwest flights and it is about a 30min drive from downtown.

I know a little about the area and would be willing to help the fine lads Matt and Bill coordinate some.

I drive down there to visit my brother every once in a while, it isn't that bad. 
Usually I'd be takin' the 2-seat turd-mobile, but my girlfriend is letting us take her impreza, so it'll be a much smoother, quieter ride than I'm used to!

I'm sooo stoked about KeyCon being in Pittsburgh, it's the city I've been born and raised in. I'm a Pitt alum and lived in the city itself for the past 5.5 years. I'll 100% be there, even though I'm moving to Dayton in two weeks - with that said I can check out venues in the next like, week and a half if needed.

I'm definitely interested in advising on areas of the city to check out (and places to avoid), venues, food, nightlife, and things like that. Let me know if you guys have any questions about anything!

This is so true! ;) Awhile back I had a traveling job & people were always asking me where I was from because of my accent, my Pittsburghese isn't even that heavy too! The funniest is when I was down south & asked someone for a pop or milkshake, they had no ideal what I was talking about! :))

It looked a little expensive when I saw the rates but I'm still trying to stay there. The hotel looks really cool

Making this keycon a whole weekend trip with me and my sisters! They can know more about the hobby I've spent so much money and time on for the last 3-4 years! RSVP'ed just now! Definitely will try to see about staying at the Ace Hotel as well but may have to go the airbnb route or something depending on how much it ends up costing. I'm sure it'll work out lol

Meetup streams are definitely fun and I'd love to see it - we had one at KeyCon 2013 in San Jose.  There was a head-cam GoPro that walked around the venue showing everything off too.  :D  So if anyone has one of those and wants to do some streamin'...  ;)

If anyone is making the trip from the DC Area and has a seat in their car let me know. I can pitch in for gas and snacks.  I have a licence and a car - but who wants to do a 4 hour drive alone? I'll get my own hotel room. Cheers
