Ok, here is the first link from Google when I typed in Chicago meeting space.  Plenty of options in downtown for less $500.  I am sure the farther out one and less glamorous one gets from the city center, the rates only get cheaper.  And more negotiable.

For the sake of costs, I would suggest having it out in the suburbs as well. There are dozens of places with rooms you could use.

I've done small meetings and conventions at this place. Nice hotel, friendly staff, and located right off Interstate 90 about 30 minutes from O'Hare.

So long as I can get there without having to take a toll road, or a 2 hour detour to get around said toll road, it works for me.

Can we start nailing down at least a couple week window?

I want to start planning my meetup but don't want to get to close to the con for obvious reasons.

From Waterloo, you can pretty much take US 20 all the way until you're within 15 miles of the hotel I linked to. It then intersects another highway that will essentially take you right there. It should be fairly easy to use Google Maps and use the "avoid toll roads" option.

Yes, that's the one mkawa is referring to.

Um untrue. One of the burbs contains the Galloping Ghosts arcade (I think). I'm 100% sure that will be a necessary field trip. And or the Barcade.

And in 2013 there were around 40 people I think?

With all this planning around college spring breaks, if you do it anytime mid-April or later, then you avoid those breaks.  But then we have finals prep.  Then college students should be free by mid to late May in this part of the States.  We mostly work on the semester system in these parts, not that pesky quarter system the west coasties seem to love.

Galloping Ghosts is amazing, you shall not be disappointed.

Galloping Ghosts is awesome - though the parking kind of sucks.  There are some pretty good restaurants in the area too.

O Hare is always a mess.  It's like the fifth busiest airport in the world.  It handles an average of over 183,000 passengers per day.  Once they finish the runway configuration, it most likely will be more.
